Volunteers Needed

Hello Oak Park AYSO Families.


I'm reaching out today with a plea for volunteers. As you may be aware, we are entirely operated by parent volunteers. From the coaches and assistant coaches to division coordinators and our executive board, we are all parents of current, future or past kids in our community youth soccer league.


As we open registration for the Fall season, we have multiple vacancies that we need to fill. Ideally, we would like to have some new volunteers join us while Spring is still in progress so that we can do some hands on training during an active season.


We have current openings for the following (see below for descriptions):

Referee Coordinators

U19 Coed Coordinator

U08 Girls Coordinator and Assistant Coordinator

U08 Boys Assistant Coordinator
Marketing Coordinator

FIeld Permit Coordinator

Scheduler



CURRENT OPENINGS

Referee Coordinators

Our current Referee Administrator, Dan Jordan, is retiring from the board after 20 years of service to the Oak Park AYSO community. Moving forward we are dividing his role into multiple coordinator positions in order to distribute the tasks needed to keep our youth and adult referees operating smoothly.


Communication Coordinator

Manage contact lists of referees, division coordinators and referee mentors.

Send pre-season updates announcing training and key season dates.

During the season, send out weekly scheduling emails and pre-game announcements.

Update and manage templated communications (rules of the game, preparing for weather, etc.)


Schedule Coordinator

Ensure game coverage week to week.

Work with Communication Coordinator to recruit youth and adult referees to cover games.

Identify novice referees in need of mentoring and inform Referee Mentor Coordinator of game day needs.


Referee Mentor Coordinator

Recruit experienced adults to observe our youth referees and provide support and feedback.

Work with Schedule Coordinator to ensure coverage of games.

Gather referee feedback and provide guidance to referees where needed.

Identify candidates for promotion from AR to Center and from lower to upper divisions.


U19 Coed Coordinator

U08 Girls Coordinator and Assistant Coordinator

U08 Boys Assistant Coordinator

Manage division communications with coach and assistant coach volunteers.

Attend monthly board meetings.

Ensure all division volunteers are properly registered and have completed training requirements.

Build team rosters prior to season.

Distribute team uniforms and equipment prior to season.

Observe matches on game day Saturdays.


Marketing Coordinator

Manage Oak Park AYSO social media and website news section.

Coordinate local marketing events (4th of July Parade, Day in Our Village).

Manage print advertising (Park District catalogue).
Maintain email promotions for Spring and Fall registration.


FIeld Permit Coordinator

Submit permit requests twice yearly to Park District of Oak Park.

Attend  PDOP permit review meetings to make corrections and work with other PDOP partner to optimize permits.

Analyze permit distribution and report available practice and game space to Board using existing season scheduling spreadsheet tool.

In the event that we need to secure additional field space due to field closures, identify available space and coordinate permits.


Scheduler

Create draft schedule of games based on available permitted space and number of teams in each division. (Google Sheets).

Set up match schedule in Blue Sombrero and publish to league website.

Assist Division coordinators in rebalancing matchups during the season.

Reschedule rainout games on predetermined, permitted make up days.
